02SOP system

Standardize the operation.
Make expectations clear.

Every procedure follows the same structure: an identification header, a purpose, numbered implementation steps, an effective date, and a signature block for preparation, approval and staff acknowledgement. The same document a hotel company would file, sign and audit against.

Purpose

This procedure is established to standardize the guest arrival process and ensure a professional, efficient check-in.

Steps

  1. Check the reservation in the PMS before the guest's arrival (dates, room type, rate, payment method, special notes).
  2. Greet the guest warmly and introduce yourself by name.
  3. Request identification for the guest registration record, in line with legal requirements.
  4. Confirm the departure date, number of nights and the service booked (bed & breakfast, half board, etc.).
  5. If the guest has stayed before, check the guest history in the PMS and offer the same or a similar room if available.
  6. Explain the restaurant and breakfast hours, wi-fi access and hotel facilities.
  7. Collect payment details and, if required, authorize the card or charge a deposit.
  8. Hand over the room key/card and, if needed, escort the guest to the room or call for luggage assistance.
  9. Log any special notes about the guest (allergies, VIP status, special requests) in the guest profile in the PMS.
  10. Wish the guest a pleasant stay.

This procedure takes effect the day after its adoption. Responsible for enforcing it: the Front Office Manager, or their designated deputy in their absence. Any violation will be treated as a breach of work duty.

Master pre-opening sheet — sample data shown, 13 of 30 rows Editable Excel workbook with live status counts
What

Thirty pre-opening tasks already written, phased and assigned to a department.

Who

A named owner per task. Accountability sits with a person, not with a meeting.

When

Deadlines by phase, so a moved opening date reshuffles the plan instead of breaking it.

What's blocking

A dependency column that makes the real reason for a delay visible early.

04Templates

14 templates built
for daily hotel operations.

Editable Word documents in a real operational format — headers, fields, checkboxes, sign-off lines. Add your property name, adjust the steps to your layout and systems, and print or file them the same day.

Readiness isn't a feeling.
Readiness is a check.

The day before opening is not the moment to test hot water, evacuation or the night audit for the first time.
